Running the Live Event Day is the Operational handbook in the OTAS Live Library for the person who holds the live event day.

OTAS Live Ltd exists to support events and professionals at every stage. This title is the first book in Live Event Delivery. It is written for event managers, venue duty managers, production coordinators and anyone named on the morning brief as the person running tonight.

The handbook starts at the named hour you take the ground. It walks the first route. It covers the staff briefing, doors held or opened, the programme clock, changeover, watching the site while the public are in, the first moment the plan on paper is no longer the ground, the stop you make and the stop you hand on, the radio sentence the next person can act on, the written line while the day is live, handover when you are relieved, and closing the public day.

Last song is not the close. House lights are not the close. A site called clear while a person is still in a toilet is not the close. You stand behind the night you ran, not the night you wish you had written.

What you will be able to do:

• Take the day from a named hour and walk the ground before doors
• Brief the people who will work, and name who missed it
• Hold a door or open it, and write which
• Run the published minute, or name the miss
• Hold a changeover as a workplace
• Watch what you can see, and call what you cannot
• Speak so the next person can act
• Write time, what was seen, what was decided, who was told
• Hand the day to a named incoming person, or close the public day and name who holds the site overnight

This handbook does not replace a licence, a regulated qualification, or approved guidance. It does not keep Event Control’s log. It does not close the event file. It does not sign residual of the delivery system.

UK statute is named and commencement-checked, including the Health and Safety at Work etc. Act 1974 and the Occupiers’ Liability Acts. Operational duties under Part 1 of the Terrorism (Protection of Premises) Act 2025 are not in force at September 2026 and are not written here as current law.
